Purposes and legal basis
We process personal data exclusively to provide and manage the vocly system (for example login, user management, communication within the platform). The legal bases are Art. 6 para. 1 lit. b GDPR (contract / pre-contractual measures) and, if necessary, Art. 6 para. 1 lit. f GDPR (legitimate interest in secure, stable operation).
Which data we process

For singer accounts

Depending on usage, we process master data (for example first name, last name, email), login and session data, and technical data required for operation. Required fields are email, first name and last name.

Additionally for choir leader accounts

For choir leader accounts we also use payment data (bank account, PayPal, etc.) to process the annual payment. In these cases a full billing address is also stored.

What we use your data for
Your data is only available to the choirs and choir leaders with whom you are registered. We do not use your data for marketing purposes and do not share it with third parties. There is also no exchange between choirs (unless they belong to the same choir leader). At minimum we require your email address, first name and last name. Providing additional information (address, gender, profile picture) is voluntary. Email addresses are used exclusively for login and internal mail. Personal email addresses are never shared with other singers or choir leaders in communication.
Storage period
We store personal data only as long as required for the stated purposes or as long as statutory retention obligations apply.
Storage of messages
For communication within a choir, messages are stored in a database. Personal data entered in message content is protected against third-party access within the framework of our safeguards. Important: if a user leaves the application with the request to be “forgotten” (deletion of all data), this also affects messages that were sent to other users. In that case they are also deleted from the recipients’ inboxes. This applies to both singers and choir leadership.
Disclosure to third parties
Your data is not shared with third parties outside of vocly. We do not sell data and do not use it for advertising.
Cookies & tracking
We only use technically necessary cookies required for login and secure operation. We do not use tracking or analytics cookies.
Your rights
You have the right to access, rectification, erasure, restriction of processing, data portability and objection. You also have the right to lodge a complaint with a data protection supervisory authority. The function for permanently deleting your account (including full deletion of your data) can be found under Settings > My personal settings.
Security
We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access.
